Do you need to collect the details of large numbers of attendees at a one-off event?

VPass is the perfect solution.

Any number of printed QR code posters can be placed at registration points where visitors can sign in with their phones. These can complement or fully replace your expensive hardware such as iPad kiosks.

Setup

1. Create a unique Form eg: “Info Evening” and use the Form Builder to ask the required questions… and if necessary, display documents, collect signatures etc.


 

2. Next, create an event Visitor Type – for example “Information Evening” and link the “Info Evening” Form to it (created in Step 1).


 

3. Create as many Locations as required. For example six Locations named: Information Evening 1, Information Evening 2… Information Evening 6.


 

4. For each of the six Locations, Assign only the single “Information Evening” Visitor Type. This will streamline the sign in process for visitors as it negates the need for them to make a Visitor Type selection. More info on how to do this here.


 

5. Print as many QR Code Posters as you require and place them at the sign in point(s).


 

6. At the time of the event, visitors can scan a poster using their phone camera and fill out and submit any required Form fields on their device. They are now signed in to the Event.


 

7. Submitted visitor data populates the Reports page. After filtering the page by the “Information Evening” Visitor Type, this enables you to tally visitor numbers and responses to certain questions (example: number of prospective students, contact email etc). A csv export of such visitor details can be exported for use elsewhere.

 

Geo-Location: To ensure your QR Code Posters can only be used at the prescribed location, you may wish to enable the Geo-Location feature. Visitors signing in must have location services turned on in their phones. More info here.
